General Purpose
To provide assistance to the staff, the students and parents in the Center’s office to assure a smooth, friendly and efficient operation of the office so that the office’s maximum positive impact on the education of children can be realized.
Main Job Tasks and Responsibilities
Perform the usual and necessary office routines and practices assigned by the Director.
Keep attendance records of children and notify the Director when any child has been unexplained for a 3-day absence or an unusual absence trend.
Compile and calculate various attendance reports.
Maintain the finance books for the school.
Maintain a record of teacher, Director, and support personnel’s absences and the resulting substitutes.
Receives and routes incoming calls as required or relays messages as the case may require.
Receives, sorts, and delivers incoming mail.
Enroll new students and arrange the transfer of students moving to another attendance area as assigned by the Director.
In the absence of the school nurse, the secretary will administer emergency first aid.
See that the parents are contacted in the event of a serious student accident or illness.
Performs such other reasonable tasks and assumes such other responsibilities as the director may from time to time assign or delegate.
Be responsive to specialized instructions from the associate superintendent, business management, and administrative assistant to the superintendent.
Greet visitors, salespersons, parents, and guests and after determining their business, make an appropriate disposition of the matter.
Qualifications
High School Diploma or equivalent
Demonstrates strong interpersonal skills
Maintains professional and friendly demeanor and ability to work well with a diverse population
Possess excellent organizational skills
Ability to manage time efficiently and multi-task effectively
Demonstrates strong writing and editing abilities with the ability to communicate clearly and effectively
Maintain confidentiality at all times
Strong computer knowledge and general office procedures
Previous administrative experience, preferred
General office skills (able to operate all office machines and type)
Experience with Microsoft Office and Google
Daily Schedule: 7:45 a.
m.
to 3:45 p.
m.
, Monday through Friday; 46 weeks per year
Salary and Benefits
Payment Type: $17.
50 per hour
Benefits: No benefits, grant-funded
